This role functions as a hybrid Property Manager and Logistics Coordinator, overseeing the full lifecycle of equipment and custodial supplies for the work unit. Key responsibilities include managing inventory through precise documentation and barcoding, supervising supply delivery personnel, and acting as the primary liaison for property records and vendor relations. The position balances administrative duties—such as utilizing Excel, OMNI, and AiM systems—with hands-on technical oversight, including coordinating minor equipment repairs and scheduling preventative maintenance for the vehicle fleet
Responsibilities
- Serves as property manager for the work unit. Acts as liaison with Property Records Section. Responsible for compiling data and maintaining related inventory documentation. Responsible for scheduling/supervising vendor pickup, loading, and offloading of stock within custodial supply rooms in buildings on a monthly schedule. Uses a hand truck, flat dolly, and other equipment as needed. Initiates orders for shelving as needed. Supervises Supply Delivery Assistant.
- Responsible for security, and inventory of equipment in campus buildings. Signs for materials ordered on blanket purchase orders. Assists with maintaining delivery logs and the calendar. Provides stock level information for analysis and adjustment by the Assistant Director.
- Maintains inventory documentation related to the location and purchase date of items. Affix property numbers/bar codes to accountable equipment. Tracks non-accountable equipment (vacuums, etc.). Maintains oversight of equipment repairs, coordinates minor repairs (replacing plugs on cords, repairing equipment wiring). Maintains Equipment Repair Logs with the use of basic computer skills, including Excel, OMNI, and AiM, and utilizes systems designed by the Assistant Director.
- Schedules and supervises the transport of equipment between buildings. Schedules, supervises, and assists with the delivery of equipment to local repair shops, building relationships with vendors for repairs, vehicles, etc. Drives delivery vans and vehicles as appropriate. Assists with scheduling PMs on vehicles and equipment, maintaining logs, ordering parts, and assists with the delivery/pickup of vehicles to and from repair shops, may obtain written estimates for analysis by the Assistant Director.
- Assists with training program, duties may include but are not limited to: printing training materials and assembling hand-outs, checklists, compiling and updating database of employee training, completing and printing certificates, assisting with training sessions, and equipment demos. Other related duties as assigned.
